1.1 It is the policy of Robert Morris University to provide compensatory time in compliance with federal and state laws.
2.1 This policy applies to full-time Category II employees.
3.1 Exempt Administrative Employees (Category II) are exempt from overtime and are eligible for compensatory time.
3.1.1 Employees in this category are expected to substitute hours away from the work place to compensate for hours of overtime worked in excess of 40 hours worked in a week.
3.1.2 Time off charged to compensatory time may not exceed 80 hours in a calendar year.
3.1.3 Time off charged to compensatory time must be taken within 30 days of the time the extra hours were worked, unless an exception is made by the department manager.
188.8.131.52 This exception must be in writing with a copy forwarded to the Human Resources Department where an official record is maintained.
3.2 Compensatory time off may not be carried forward from year to year, except for the first 30 days of the new calendar year.
3.2.1 A department manager may make exception to this carry-forward rule, with the written approval of his/her vice president. A copy of this written approval must be sent to the Human Resources Department.
3.3 Time off charged to compensatory time should normally not exceed 16 hours (two days) of consecutive time.
3.4 Record keeping of the accrual and charging of time to compensatory time is the dual responsibility of each exempt administrative employee and his/her department manager.
3.4.1 Compensatory time earned and taken must be recorded on the monthly employee time report which is submitted to the Human Resources Department.
3.5 As in the case of vacation leave, an exempt administrative employee must request the approval from his/her department manager before scheduling time off to be charged to compensatory time.
3.6 Unlike vacation leave, an employee who has accrued compensatory time (but has not yet taken the time) is not paid for unused compensatory time when he/she leaves the employ of the University.
3.7 Category I employees (non-exempt employees) are not eligible for compensatory time.
3.8 Category III employees (exempt managerial and professional employees) are not eligible for compensatory time.
